Why we ask you for Police Forms

It is surprising that the Czech Police demand so much confidential information from both
EU residents and from non-EU residents staying in Czech Hotels, Hostels, Pensions,
Bed-and-Breakfasts and Holiday Cottages. 

We have taken the very best legal advice, and have confirmed that Czech Law
does require us to collect this data.  We have also been reassured that these
requirements in Czech Law are compatible with European Union regulation.

Privacy of your Personal Information

IdyllicPrague.com are concerned to ensure that your personal information is collected
and stored in a manner which is as compatible as possible with the modern European
requirements and your expectations for the protection of your personal data. 

We have therefore taken the very best legal advice, and have devised a system which is
simple and practical, and which enables the IdyllicPrague.com team to take the greatest
care of your personal data.  We consider your
        date of birth,
        place of birth
        passport number and
        home address
to be particularly sensitive personal data, so this information is stored as securely as possible,
with minimum access.  In addition, we try to minimise access to your other personal data,
such as your email address, on a minimum need-to-know basis.

Need to Know - Most Sensitive Data

We try to minimise the number of people who have access to your personal, private, confidential
personal data.   We consider your
        date of birth,
        place of birth
        passport number and
        home address
to be particularly sensitive personal data.  We try to limit access to this data to:-

    1)    The member of the IdyllicPrague.com team who receives your data by email and sends
            your data to the Czech Police.

    2)    The member of the IdyllicPrague.com team who will visit you during your holiday, and
            confirm the details entered into the Police Book with you, and compare them to your
            passport.

    3)    As we have asked for specialist assistance, guidance and audit from www.VDNU-Legal.cz
            to ensure that we protect your privacy, a qualified lawyer from VDNU-Legal might have
            occasional limited access to your data.

    4)    Those members of the Czech Police who we understand are legally entitled to demand your
            personal data.

Need to Know - Less Sensitive Data

We are required to pay local tourist taxes on your behalf.  In order to make those payments,
we have to provide some of your personal data to the local village authorities to validate our
tax payments.  It appeared that the local authorities might ask for significant personal data,
but, so far, the information requested by the authorities has been very limited. 
If this changes we will update this website accordingly.

Need to Know - Least Sensitive Data

Although details such as your name, dates of stay, mobile telephone number and email address
are less sensitive, we still try to limit access to this information.  Clearly any member of the
IdyllicPrague.com team who is scheduled to assist you will need some of this data, but we try
to limit access as much as possible.

So, for example, if a member of the IdyllicPrague.com team is greeting and meeting you at
Prague Airport then they will need your name, the dates of your holiday and your mobile
telephone number.  However as they will not normally need your email address, we would not
normally give them access to that information, if it can be avoided.

We operate on the principle of protecting your secret private personal data as much as possible,
and only give access to this data on a strict "need to know" basis.

The Police Form Process

     1)    Before your holiday, please send us your Police Form for each and every member of your group
            to IdyllicPrague 33 Daws Lane London NW7 4SD

    2)    We will then send your arrival date, departure date, first name, surname, date of birth,
            country of residence and passport number by special email to the Czech Police .

    3)    We are required to keep the paper copy of the form that you sent to us securely
            on file for 6 years, and available for inspection by the Czech Police whenever requested.

    4)    In order to comply with Czech Law, we regret that we cannot give any Guests access to any
            IdyllicPrague.com Cottage until this data has been received and processed.

    5)    IdyllicPrague.com also pay a tourist tax on your behalf.  This tax is included in the rental.

    6)    You agree for IdyllicPrague.com to store your personal data in an appropriate secure manner,
            and authorise IdyllicPrague.com to communicate some of your personal data to others 
            when necessitated by Czech Law and when essential for the management of the
            IdyllicPrague.com business. 
            As an example if a member of the IdyllicPrague.com team should be asked to collect you
            from Prague Airport it will be essential to give your name and mobile telephone number
            to that member of the team.  For more details click here

All Guests - Personal Data - more details

All Guests are required to provide to IdyllicPrague.com personal information which includes the
individual names and addresses and dates of stay of each individual Guest of IdyllicPrague.com.
The Guests acknowledge that there may be legal requirements compelling IdyllicPrague.com to supply
this data to local and national authorities. 

At the time of writing (2009/09) these statutory requirement to disclose the personal data
of Guests included the Decree of Statenice No. 2/2001 Article 21

There may be other circumstances in which IdyllicPrague.com may need to communicate personal
data, for example if a Guest has requested IdyllicPrague.com to organise services such as transport
or meals it may be appropriate for IdyllicPrague.com to responsibly communicate the names and
dates of stay and telephone numbers of Guests to other parties or team members. IdyllicPrague.com
will endeavour to minimise the communication of email addresses.

IdyllicPrague.com commits to make reasonable efforts to handle this data with appropriate professional
care paying particular attention to confidentiality and security.  The Guest confirms that the Guest
will not hold IdyllicPrague.com responsible for the handling and safeguarding of this data if the
handling and safeguarding are appropriate and reasonable within this context.
